Add and manage attendees and assignees

Add participants to your meeting minutes, record their role, and assign action items to the people responsible for them.

Add a participant

  1. In the meeting list, tap the ellipsis button beside the meeting minutes.
  2. Tap Attendees.
  3. Tap the plus button.
  4. Enter a name and email address, or select someone under Recents or Contacts.
  5. Return to the Attendees list.
  6. Tap the role beside the person and choose AttendeeRemoteAbsentMinute Taker, or Recipient.
  7. Tap Done.

You can also open the meeting details and tap Attendees.

Assign an action item

  1. Open the action item.
  2. Tap Assigned to.
  3. Under People in Meeting Notes, tap one or more people.
  4. Tap Done.

The filled person icon identifies an assignee. Tap the person again to remove the assignment.

To assign someone who is not listed in the meeting minutes:

  1. Tap the plus button, then Add Person.
  2. Enter their details or choose an existing contact.
  3. Return to Assignees.
  4. Tap the new person under Other People, then tap Done.

An action item can have more than one assignee.

Allow access to Contacts

Contacts access lets you select names and email addresses without entering them manually.

When Contacts Access appears, tap Continue, then allow access in the system prompt. If access was previously denied, tap Change in Settings.

You can still enter names and email addresses manually without granting Contacts access.

Edit or remove a person

  • Tap a person to change their name or email address.
  • In Attendees, tap the role badge to change their meeting role.
  • In Assignees, tap a selected person to remove them from the current action item without deleting them.
  • To delete people, tap Edit or Select, select them, tap the trash button, then confirm Delete.

Deleting a person removes them from the current meeting minutes and from any action items assigned to them in those minutes.
